Choose a usable room before choosing a restrictive rate
For a family, a cheaper hotel rate helps only when the room works for everyone. Confirm occupancy, each child’s age, prepared bedding and any essential internal connection first. A cheaper non-refundable rate does not solve an unresolved sleeping arrangement. Compare cancellation options only after both offers pass the same room-and-family checks.
Payment timing and cancellation terms are separate. Prepaid does not automatically mean non-refundable, and Pay Later does not automatically mean free cancellation. Save the selected rate’s deadline and charge alongside its payment schedule.

Find the rule attached to the exact room and plan
At MIMARU, the official FAQ directs guests to the selected room plan’s Cancellation Policy in the booking flow. That is the relevant place to inspect before deciding. A hotel-level summary is useful background, but it does not establish the deadline for every plan.
MONday Apart Ueno Shin Okachimachi illustrates the same distinction. Its general FAQ for phone and official-site bookings lists free cancellation until eight days before arrival and a charge of 100% of the accommodation fee from seven days before arrival. It also says third-party conditions can vary and non-refundable plans do not allow changes or free cancellation after confirmation. Use the actual offer’s conditions; do not apply the general window to every MONday property or rate.
Save the offer before payment, including the deadline’s date, time and stated time zone. If the display says only “until [date]” and you cannot determine the cutoff, ask the provider before relying on the last day. Keep that answer with the reservation rather than reconstructing it from a different hotel page later.

Build one comparison record for the whole stay
Compare the same dates, room category, guest ages and prepared beds. Meals, cleaning arrangements or bedding supplements can make two similarly named offers different purchases. Record the full-stay total in the same currency and distinguish included charges from amounts payable at the property.
For two rooms, keep a separate policy record for each reservation. Do not assume the second room has copied the first room’s payment schedule or deadline. If an internal connection is essential, the reservation must also establish that arrangement. A pair of cheap ordinary rooms with an unconfirmed request is not equivalent to a suitable connecting product.

A worked example: what does flexibility cost?
Hypothetical example only: the same four-night room and family arrangement costs ¥200,000 with free cancellation up to a stated deadline, or ¥180,000 on a non-refundable plan. Assume the meals and all payable charges are identical. These invented amounts explain the calculation; they are not hotel prices or current offers.
The saving is ¥20,000 for the stay, or ¥5,000 per night. If the restrictive plan charges its full total when cancelled, the amount exposed is ¥180,000. The refundable alternative protects that amount only while its cancellation window remains open. Check what happens after the deadline rather than calling it flexible for the entire trip.
Use the ¥20,000 difference as the price of the stated flexibility. Would you pay it while flights, dates or the room allocation are still unsettled? If the trip is firm and every room requirement is confirmed, you may prefer the saving. This worksheet does not predict whether your family will cancel; it makes the tradeoff visible.

Check changes separately from cancellation
A plan that permits cancellation does not necessarily preserve the original price when you move the dates. Check the change process, any fee and the rate for the replacement stay. Do not subtract an assumed future refund from a new booking total until the provider has actually established what will be returned.
For Expedia bookings, use the provider’s selected Rules and Restrictions for cancellation and changes. Keep the payment receipt and provider contact details with the policy; do not assume a refund-processing deadline that the offer does not state.
Expedia’s US terms say that guests who will miss the first night but want to stay on subsequent nights must confirm their later arrival with Expedia before the original check-in date, or the whole reservation may be cancelled. Keep the revised arrival agreement in writing.
