Forward the bags you can manage without
Luggage forwarding is useful when it removes a difficult part of your family’s journey: suitcases through a station, a hotel change with a stroller, or bags unnecessary during a short side trip. Decide which items can travel separately and how long you can manage without them. Sending every suitcase is unnecessary if one compact bag covers the family until delivery.
Make separate plans for airport arrival, hotel transfers and airport departure. Each has a different destination, deadline and handover. Arrival-service advertising does not establish the rules for your flight home. This guide combines official information checked on 5 October 2026 with hypothetical planning examples. Confirm service availability and hotel consent for your itinerary.
Treat each direction as a separate booking decision
Before comparing charges, record where the bag starts, who receives it and when you need its contents. Resolve unanswered fields before dispatch. The hotel reservation and courier arrangement should tell the same story.
Yamato’s regular TA-Q-BIN offers delivery-date options; its airport departure service has a separate process. Ask for the appropriate service by describing the journey rather than relying on a single phrase such as “airport delivery.”

Arrival delivery: same-day service has a counter deadline
Yamato’s Tokyo airport page currently lists the arrival options below. Eligible destinations and drop-off times determine same-day availability. Haneda lists hotels in Tokyo’s 23 wards and specified nearby areas; Narita lists Kanto and Yamanashi. The counter must confirm your destination. Standard delivery is a separate option when the same-day conditions are not met.
Consider immigration, baggage collection and the walk to the counter when assessing the deadline. Landing shortly before cutoff leaves little room for delays. Decide what the family will do if same-day delivery is unavailable.
Narita’s airport directory separately lists Yamato counters and warns that traffic, weather and parcel volume can delay delivery. Leave the afternoon’s clothing, snacks and bedtime necessities in your own bag even when same-day delivery is accepted.

Obtain the receiving hotel’s agreement first
Send a short question to the exact property: “For reservation [reservation name/reference], may [number of bags and sizes] arrive by courier on [date]? What recipient details, payment method and delivery window should I use?” Use the address and telephone number supplied by the hotel. A chain name alone is insufficient, especially where several branches have similar names.
MIMARU requests the reservation name and recommends arrival after the check-in date; earlier delivery can attract storage charges. MONday Apart Premium Ueno Okachimachi permits advance shipments matched to the booker’s name, with restrictions on certain contents and bulky items. Confirm your bags with the respective property.
Minn Ueno’s published FAQ asks guests not to send luggage to the property, including during a stay. Its self-service storage area does not change that instruction. Yamato’s airport page also excludes destinations without staff to receive bags; it offers a sales-office pickup alternative during that office’s business hours.
For a straightforward hotel delivery, request a prepaid arrangement and verify how to pay at the sending counter. Treat that as your planning preference, not a claim that every hotel requires the same payment rule. Do not make the receiving hotel responsible for an unagreed delivery charge.

Hotel transfers need a delivery date, not a guess
Yamato’s delivery-time FAQ describes ordinary journeys as taking one or two days depending on distance and directs accommodation shipments to a route-specific date search. Check both postal codes and the sending date. A short journey across Tokyo does not by itself establish same-day delivery, nor does a widely quoted “next day” rule settle a more distant transfer.
Ask the sending hotel when it needs the bag for collection. MONday Ueno Okachimachi requests notice the preceding day. A hotel’s preparation instructions do not establish the courier’s delivery date.
For a side trip, agree the desired receipt date with the next hotel and courier. Yamato’s regular date-selection FAQ measures its seven-day window from arrival at the responsible sales office, including that arrival day. Have the counter confirm a feasible date rather than calculating the holding period from the day you hand over your bag.

Pack for the time when the suitcase is unavailable
Hypothetical family: two adults, a six-year-old and a twelve-year-old land at Haneda in the afternoon and stay four nights in Ueno. They assume their luggage will not arrive until a confirmed later window, so keep sleepwear, a change of clothes, toiletries and school-age activities in a small bag. They can begin their stay without making the first evening depend on a suitcase.
For a second hypothetical family spending one night elsewhere between Tokyo stays, an overnight bag should cover both that night and the next morning. Add passports, essential medicines, charging equipment and anything needed for the onward journey. Keep a child’s indispensable comfort item with the family. A stroller required during the transfer belongs in the same category as other immediately needed equipment.
Rehearse opening only the retained bag at bedtime and the following morning. If you need a forwarded suitcase, move those essentials into the retained bag or change the arrangement.
For departure, work backwards from the flight date
Standard Airport TA-Q-BIN requires dispatch at least two days before departure, or three days from some areas, so the bag reaches the airport by the preceding day. The sending counter’s cutoff varies. Collection is on the flight’s departure date; the airport-directed service does not offer cash-on-delivery payment or a selectable delivery time slot.
Confirm the airport, terminal, airline, departure date and collection counter together. Bring the sender’s waybill receipt for collection. The airport’s official directory helps locate the operator, but opening hours are different from the deadline for sending a bag. Haneda, for example, publishes distinct delivery and receipt entries.
Hypothetical example: a family flying on Friday asks on Monday for the exact dispatch cutoff, then retains clothing and toiletries for the remaining nights. If another provider offers same-day airport delivery, assess that provider’s terms separately. Do not replace the standard Yamato deadline with the arrival-service deadlines above.

Save one record for every suitcase
Before handover, photograph each bag and save its tracking number, destination, agreed receipt date and hotel reply. Give each adult access to that record. Check that the reservation name matches the recipient details and that the waybill contains a useful description of the contents; Yamato warns that vague descriptions can disrupt delivery.
Track the bag after handover. If the next hotel changes, contact the courier and receiving property; changing a reservation does not redirect a parcel. Keep the bag’s itinerary as deliberate as the family’s.

Can every Tokyo hotel receive forwarded luggage?
No. Ask the exact property before sending. A place to store bags that you bring yourself does not establish permission to receive a courier shipment.
Does landing in the morning guarantee same-day airport delivery?
No. You must reach a participating counter before its deadline, have an eligible destination and a receiving arrangement. Allow for airport procedures and retain essentials.
Can I send a suitcase to the airport on the morning of my flight?
